Open Access Hosting: All proceedings are published under Creative Commons BY 4.0 licensing and hosted permanently on our platform. There are no paywalls, subscription fees, or access restrictions. Publishing Process

We’ll establish a publication document outlining deliverables and responsibilities. Early consultation allows us to reserve ISBN allocation and coordinate DOI registration.
Submission and Review (conference planning phase): You manage your conference’s peer review process according to your standards. We can provide guidance on double-blind review, acceptance criteria, and ethical publication practices, but review decisions remain with your program committee. We recommend accepting papers conditionally with required revisions to ensure quality proceedings.
Post-Conference Compilation (2-4 weeks after conference): Authors submit final revised papers meeting your formatting guidelines. We work with you to compile submissions, verify that all accepted papers are included, and ensure consistent formatting across the proceedings. Authors provide camera-ready PDFs or Word documents following our template.
Production (3-6 weeks): Our team handles copyediting, generates DOIs, creates the proceedings PDF with proper front matter (title page, table of contents, ISBN, copyright information), and prepares metadata for indexing. You receive a draft for approval before final publication.
Publication and Distribution: Once approved, proceedings go live on our platform with permanent URLs for the full volume and individual papers. We notify relevant indexing services. Authors can immediately cite their papers using the assigned DOIs.
The entire process from initial contact to published proceedings typically takes 2-4 months, though we can accommodate faster timelines for established conference series with efficient review processes.
What We Need From Conference Organizers
To ensure high-quality proceedings, we ask conference organizers to meet several basic requirements.
Rigorous Peer Review: All papers must undergo peer review appropriate to your field’s standards. We recommend double-blind review by at least two reviewers per paper, but recognize that different conference formats may require adapted approaches. Northeast Langchive does not charge conference organizers or paper authors for proceedings publication. Our open access mission is supported by institutional funding and our broader publishing activities. There are no hidden fees, page charges, or administrative costs.
In exchange, we ask that conference organizers acknowledge Northeast Langchive as the publisher in conference materials and encourage presenters to cite published papers using our DOIs and URLs rather than distributing unofficial PDFs
